Can I create a request for items not in my database?

Yes. Tradogram is designed to handle both standardized inventory and unique, "one-off" purchases. You are not required to have an item pre-saved in your database to include it in a Requisition, Purchase Order, or RFQ.

How to Add "External" or "One-Off" Items

If you need to request an item that does not yet exist in your Item Database, follow these steps during the transaction creation process:

  1. Locate the Add Items Section: While building your request, look for the item entry area.
  2. Select "Add External Item": Instead of searching your database, click the Add External Item button.
  3. Enter Item Details: A blank line will appear, allowing you to manually type in the:
    • Item Name and Description
    • Quantity and Unit of Measure (U.O.M.)
    • Estimated Price
    • Project or Department Coding
  4. Save to Transaction: Once entered, this item will behave just like a database item for this specific transaction.

Pro Tip: Converting External Items to Database Items

If you find yourself manually entering the same "external" item frequently, you can save time by adding it to your permanent Item Database.

  • To do this: Navigate to the Items module and select Add New Item. Once saved, you can find it using the standard "Add from Database" search in future requests, which ensures pricing consistency and better reporting.
