Why are multiple addresses needed?

In a growing organization, procurement isn't always centralized to a single loading dock. Tradogram allows you to store and manage multiple addresses to ensure that goods and services are delivered exactly where they are needed, every time. This structure provides the necessary detail for logistics while keeping your financial records organized.

Classifying Your Addresses

In Tradogram, an address isn't just a label; it defines how a location interacts with your procurement and inventory modules. Addresses are classified in three ways:

  • Delivery Addresses: These are your standard "Ship-To" locations. Once added, they can be selected from a dropdown menu during transaction creation.
  • Distribution Addresses: These are specialized locations capable of holding stock. When a delivery is recorded, these addresses allow you to assign incoming items to specific inventory counts.
  • Billing Address: This is the primary legal and financial address for the branch. To ensure consistency in your accounting, there can only be one billing address per branch.

Strategic Use Cases

Having a library of "Approved Addresses" allows your team to handle various operational requirements seamlessly:

  • Regional Branch Support: Manage unique delivery locations for different satellite offices or regional headquarters.
  • Warehouse & Inventory Management: Direct shipments to specific warehouses to ensure items are received by the correct inventory team.
  • Job Sites & Projects: For construction or field service, you can add project-specific addresses to send supplies directly to the site.
  • Departmental Precision: Send office supplies to one floor and maintenance equipment to a specific service entrance.

Key Benefits

  • Reduced Shipping Errors: Selecting from a pre-approved list avoids manual entry mistakes that lead to lost shipments or redirected freight costs.
  • Supplier Clarity: Clear instructions on every Purchase Order mean vendors know exactly where to go without needing to call for clarification.
  • Faster Reconciliation: Correct delivery the first time allows your team to perform a three-way match and close the PO faster.

How to Manage Addresses

To add or edit your locations, navigate to Manage Branch and select Addresses. Once saved, these will appear in a dropdown menu during Requisition or PO creation.

Success Tip: If you frequently ship to unique, one-time locations (like a specific customer's site), Tradogram also allows for Manual Address Entry during the transaction process for maximum flexibility.
