Why does every purchase order document require a title?

In Tradogram, the Title field is a mandatory requirement for every Purchase Order (denoted by the red asterisk *). While the system automatically generates a unique PO Number (e.g., PO-1025), the title serves as a critical human-readable identifier for your procurement data.

Internal Organization and Searchability

Titles offer a flexible way to categorize and locate documents without opening them. By using consistent naming conventions, you can find exactly what you need at a glance:

  • Keywords: You can search the listing overview for specific project names, events, or item types (e.g., "Q3 Kitchen Remodel" or "Laptops for New Hires").
  • Filtering: The title field is indexed, meaning it works alongside other filters (like Supplier or Date) to narrow down thousands of transactions in seconds.

Clarity for Suppliers

When a Purchase Order is issued, the title is often included in the email subject line or the header of the document.

  • Immediate Context: A supplier receiving an email titled "Order for Store #402 - Emergency Plumbing" can prioritize the request much faster than one titled simply "Purchase Order from [Company Name]."
  • Reference: It provides the vendor with your internal context, making it easier for them to reference the specific project or reason for the order during delivery or billing.

Streamlined Approval Workflows

For managers reviewing a long queue of approvals, the title provides instant context.

  • Prioritization: An approver can see a title like "Urgent: Repair Parts for Production Line A" and know it requires immediate attention compared to a routine refill of office supplies.
  • Budget Alignment: It helps approvers verify that the spend aligns with the intended project or department goals before they sign off.

Better Reporting and Auditing

When you export your data to Excel or use the Report Builder, titles provide a narrative for your spending.

  • Spend Analysis: Instead of just seeing a dollar amount and a supplier, titles help you group spend by specific initiatives or recurring events (e.g., "Annual Safety Inspection 2026").
  • Audit Trail: During an audit, descriptive titles provide a clear "paper trail" that explains the business purpose of each transaction.

Best Practice: Use a Naming Convention

To get the most out of this field, we recommend a standard format for your team, such as:

[Project Name] - [Item Category] - [Month/Year]
