What is the difference between a request and a requisition?

In Tradogram, it is important to distinguish between these two modules, as one focuses on internal needs while the other focuses on external negotiations.

Requisitions: Internal Need Identification

A requisition (often called a PR, purchase request, or purchase requisition) is an internal document submitted by employees to indicate a need for goods or services.

  • Internal Tracking: Requisitions are used strictly for tracking internal ordering requirements and are not sent to suppliers.
  • Workflow Routing: They can be configured to automatically route for review and approval to one or more designated users within the system.
  • User Permissions: This module is ideal for users who do not have permission to create Purchase Orders or communicate with suppliers directly.
  • Lifecycle Tracking: Requisitioners can track the status of each item, including approval updates and delivery receipts.
  • Next Steps: Once a requisition is approved, it can be converted into a Sourcing Request for bidding or directly into a Purchase Order.

Requests: External Sourcing and Negotiation

Requests refer to the competitive sourcing or Request for Quote (RFQ) module used for supplier negotiations.

  • Sourcing Events: Requests are used as sourcing events to send inquiries to multiple suppliers simultaneously.
  • Bid Collection: They allow your company to collect competitive bids and counter-offers, negotiating terms electronically within the platform.
  • Supplier Comparison: Once bids are received, you can use Tradogram’s comparison tools to evaluate the best offer.
  • Conversion: After a winning bid is selected, the request can be turned into a Purchase Order or a Contract within Tradogram.
